Creating a Basic Group

With basic groups, you manually drag and drop any existing references into your group. The references are still kept in "All References" folder; basic groups only contain copies of them. To create a basic group:

  • In your EndNote library select Groups > Create Group

  • Give the newly created group a name

To add references to your newly created group:

  • Highlight a single or multiple references and either drag them into the group in the left-hand menu OR select Groups > Add references to [Group Name]

Creating a Smart Group

With smart groups, EndNote will automatically place into the smart group any future or existing references that contain your search criteria within any field within the reference, e.g. title, author, abstract, keywords, etc. To create a smart group:

  • In your EndNote Library select  Groups > Create Smart Group

  • Give the newly created smart group a name in the Smart Group box
  • Click on the Author drop-down list, and select Any Field. In the text box, type a word that commonly appears in your references (e.g. in title, author or abstract). Then click on "Create"

Finding Duplicates

To find duplicate references:

  • In the left side menu pane, click on All References to display all the references in your library
  • From the menu bar, select Library > Find Duplicates

If you have duplicate references in your library, the Find Duplicates dialog box will appear.  For each set of duplicates, you have the following options:

  • Option 1:  Click Keep This Record to save the preferred reference and discard the other in the trash.
  • Option 2: Click Skip to leave both references in the library. The references will be placed in a temporary Duplicate References group for later review

To remove all the duplicate references in the Duplicate References Group In the left side menu pane:

  • Click on the Duplicate References Group
  • From the menu bar, select References > Move References to Trash
